Due to the rapid growth of the company, we are now looking for an Executive Assistant to the CEO to provide high-level administrative, organizational, and strategic support.

WHAT YOU DO

Administrative & Executive Support:

• Manage and maintain the CEO's calendar, schedule meetings, and coordinate appointments.
• Handle email correspondence, prioritize messages, and draft responses when necessary.
• Prepare and manage documents, reports, presentations, and other materials as required.
• Oversee and coordinate business travel arrangements (flights, hotels, itineraries, visas).
• Track and follow up on tasks, deadlines, and action points from meetings.
• Serve as the primary point of contact between the CEO and internal/external stakeholders.

Fundraising & Investor Relations:

• Assist in fundraising activities, including preparing pitch decks, investor updates, and due diligence documents.
• Conduct research on potential investors, market trends, and competitor activity to support fundraising efforts.
• Coordinate meetings, follow-ups, and communications with investors, venture capital firms, and strategic partners.
• Maintain organized records of investor interactions, ensuring timely follow-ups and updates.
• Work closely with legal and finance teams on investment documentation and compliance.

Social Media & Communications:

• Manage and oversee the CEO's X (Twitter) and LinkedIn accounts, ensuring regular content updates and engagement.
• Coordinate with the marketing team to align content strategy and messaging.
• Monitor and respond to comments, messages, and relevant discussions on social media.

Event & Project Coordination:

• Assist in the planning and execution of corporate events, conferences, and industry meetups.
• Liaise with external vendors, event organizers, and partners to ensure smooth execution.
• Organize and coordinate internal team offsites and strategic retreats.

Government & Regulatory Liaison (Portugal):

• Communicate with local government authorities and regulatory bodies in Portugal on behalf of the CEO.
• Handle the submission and tracking of official documents, permits, and compliance-related matters.
• Stay updated on local administrative processes and legal requirements to support business operations.

General Support & Miscellaneous Tasks:

• Conduct research on various topics to support strategic decision-making.
• Assist with occasional personal tasks.
• Ensure smooth day-to-day operations and proactively identify ways to improve efficiency.

WHAT YOU KNOW

• Fluency in Portuguese, English and Russian (both spoken and written).
• Proven experience as a Personal Assistant, Executive Assistant, or Business Assistant (minimum 5 years).
• Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
• High level of discretion and confidentiality when handling sensitive business and personal matters.
• Excellent communication and interpersonal skills, with the ability to liaise professionally with stakeholders at all levels.
• Proficiency in ChatGPT and AI tools - must be highly skilled in using ChatGPT for deep research, document drafting, data analysis, and overall efficiency enhancement. The candidate should be comfortable leveraging AI for daily tasks, optimizing workflows, and improving decision-making.
• Proficiency in productivity and collaboration tools, including Google Calendar, Notion, Slack, Telegram, X (Twitter), LinkedIn, and Microsoft Office.
• Experience in managing and overseeing CEO's social media accounts (X/Twitter and LinkedIn).
• Strong attention to detail and problem-solving abilities in a fast-paced high-performance environment.

PLUS, BUT NOT MANDATORY

• Experience in iGaming, Web3, or startup environments.
• Background in event planning and coordination, including company events, industry conferences, and team offsites.
• Familiarity with local administrative procedures and regulatory requirements in Portugal.
