Reports to: Office Manager / Senior Partner
Job Overview:
We are seeking a professional, organized, and customer-focused Legal
Receptionist to join our reputable law firm in Dubai. The ideal candidate will be the
first point of contact for clients and visitors, ensuring that the front desk operates
smoothly and efficiently. This position requires excellent communication skills, the
ability to manage multiple tasks, and a solid understanding of legal office protocols.
The Legal Receptionist will support the legal team by performing clerical duties,
scheduling appointments, and managing office administration tasks.
Key Responsibilities:
- Front Desk Management:
- Greet clients, visitors, and vendors in a professional and courteous
manner.
- Answer, screen, and direct phone calls, taking detailed messages
where necessary.
- Manage the reception area to ensure it is clean, organized, and
presentable at all times.
- Client Interaction:
- Ensure a high level of client service by addressing inquiries promptly
and directing them to the appropriate legal team members.
- Schedule client appointments, meetings, and consultations with

confidentiality and accuracy.
- Administrative Support:
- Handle incoming and outgoing mail, couriers, and deliveries,
distributing them appropriately.
- Maintain office supplies, ensuring the front desk and meeting rooms
are stocked and organized.
- Prepare and manage legal files, ensuring they are properly filed and
easily accessible.
- Assist with basic document preparation, scanning, copying, and filing.
- Scheduling and Calendar Management:
- Coordinate appointments and maintain the calendars of attorneys,
managing potential conflicts and rescheduling as needed.
- Send appointment reminders and follow-ups to clients and legal staff.
- Office Coordination:
- Assist in organizing meetings, conferences, and other office events.
- Maintain and update client information and records in the firm's
database.
- Ensure compliance with office procedures and uphold firm policies,
especially regarding confidentiality and data protection.
- Legal Document Handling:
- Prepare, edit, and proofread basic legal documents, including
correspondence and forms.
- Liaise with legal secretaries and paralegals to ensure timely
processing of legal paperwork.
Qualifications & Skills:
- Education:
- High school diploma or equivalent required; a degree or certification in
business administration, legal studies, or a related field is preferred.
- Experience:
- Minimum of 2 years of experience in a receptionist or administrative
role, preferably within a legal environment.
- Familiarity with legal terminology and procedures is highly desirable.
- Skills:
- Excellent written and verbal communication skills in English (Arabic
language skills are a plus).
- Strong organizational skills with the ability to manage multiple tasks in
a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic
- Knowledge of legal document management software is a plus.
