Plains is currently looking to fill the position of Administrative Assistant at our Fort Saskatchewan facility (PFS).
Working in our NGL Operations West district, you will report to the Plant Manager and provide high caliber administrative assistance to facility staff, area supervisors, and director.
In addition, you will be a key liaison with our other district offices and Calgary corporate.

The successful candidate will be eligible for company benefits including medical / dental / vision, RRSP matching and 9/80 schedule from the first day of employment.

Responsibilities:

Provide general reception and administrative services (responding to visitors and answering switchboard)
Assist all visitors and contractors with required orientations and issue security badges
Prepare, create, and distribute various reports using Microsoft Office tools
Create meeting agendas, minutes, and action trackers, tracking actions to completion
Provide administrative support as required (updating phone lists, ordering stationery, maintaining photocopiers, mail pickup and distribution, email distribution lists, meeting room calendars)
Maintain employee training records using a learning management system (LMS) and coordinate employee training
Provide confidential and administrative support to leader and the Area Management Team (AMT)
Maintain district SharePoint site indexes and files
Execute document control and records management, maintaining the integrity of associated systems
Ensure managers have reviewed SSOPs and update in database
Processing accounts payable invoices (Maximo service receipts)
Arrange ad hoc functions as required

Qualifications:

Certificate in Office Administration or equivalent business diploma preferred
3-5 years' administrative experience
Proficient in Microsoft applications including Word, Excel, Outlook, SharePoint, Teams, PowerPoint
Self-starter with a strong sense of urgency and responsibility
Able to work with minimal supervision
Excellent written, verbal, and interpersonal communication skills
Oil and gas industry experience preferred
Able to contribute to and thrive in a busy team environment
Excellent organizational and time management skills
Demonstrated initiative and strong work ethic
Permanent residency within 120 km of the Fort Saskatchewan facility
Valid driver's license with a clean abstract
Cleared criminal history (background) and satisfactory reference checks
Compliance with the Company's drug and alcohol policy including pre-employment D&A testing #Plains
