Position Summary
The Coordinator, Event role reports directly to the Manager, Senior Hospitality & Events and is responsible for the onsite coordination of sold events.
The Coordinator, Events assists the Manager, Senior Hospitality & Events and the Sales, Events in planning and executing all events.
Duties include communicating with vendors, organize delivery dates, set-up and breakdown of events and managing client expectations.
The goal is to provide best in class experiences to all clients and guests by creating unforgettable events that highlight our brand and our mission.
Responsibilities
- Execution of onsite events to include communicating with vendors, organize delivery dates, set-up and breakdown of events and managing client expectations
- Manage client expectations and guide them in creating a best-in-class experience highlighting the Robert Mondavi wine at the Arch & Tower
- Communication and coordination with culinary team
- Drive revenue through event bookings
- Banquet Event Orders (BEO) process & event coordination
- Coordinate all final details with client and internal hospitality partners and enter Tripleseat software for BEO creation.

- Assist with coordinating Robert Mondavi.

Minimum Qualifications
- Minimum 1 year event experience
- Minimum 2 years hospitality experience
- Excellent communication skills required, both verbally and in writing, to provide clear responses to clients and directions to Robert Mondavi.

- Strong organizational and time management skills
- Willingness to work a flexible schedule, including days, evening, weekends, and holidays.
Preferred Qualifications
- 2-3 years of event experience
- 2-3 years hospitality experience preferably winery, restaurant, or hotel.
- 1 year reservation management software experience preferably Tock, Tripleseat and other event management software
Physical Requirements/Work Environment
The employee frequently is required to sit or stand for long periods of time.
The employee is required to lift and/or move objects up to 25 pounds.
Frequent walking, including going up and down stairs and bending are required.
Work Environment:
Working conditions at an event may require the employee to be outside for extended periods of time and/or occasionally in a kitchen with slippery floors.
Irregular shifts, nights, weekends, and long hours may be required, particularly when working an event.
Travel Required
Local and national travel may be required.
