About the Role
The Maintenance Planner is responsible for the efficient planning and scheduling of maintenance works across a range of trades, including electrical, plumbing, carpentry, and HVAC, specifically for Department of Communities (DoC) work orders under the Head Maintenance Contract. This role is integral to ensuring that work is prepared, resourced, and scheduled accurately to meet service delivery timelines, contractual obligations, and client expectations.
Responsibilities
Job Planning and Coordination
- Plan and schedule daily maintenance jobs (up to 30 per day) across multiple trades in alignment with contractual obligations and client requirements.
- Develop clear and detailed job plans for small-scale maintenance work, ensuring scope, trades, and material requirements are accurately captured.
- Liaise with the Job Allocator to confirm attendance dates, availability of resources, and scheduling efficiency.
Contract and Compliance
- Interpret and apply the Department of Communities' Schedule of Rates (SOR) to job planning activities, ensuring all planned works comply with contractual guidelines.
- Plan jobs using a line-item format based on SOR and approved variations.
Material and Resource Planning
- Assign and allocate required materials in accordance with job specifications and technical requirements.
- Ensure that materials are assigned accurately to prevent delays or cost overruns.
Variations and Job Amendments
- Raise and submit variations for jobs where additional work outside the original scope is required, ensuring documentation is accurate and timely.
- Plan work against approved variations and adjust schedules accordingly.
Client and Stakeholder Communication
- Communicate with clients as needed to clarify scope, expectations, or job amendments.
- Collaborate closely with internal teams, including field technicians, supervisors, and procurement, to ensure effective job execution.
Qualifications
- Demonstrated experience in maintenance planning or a similar role within a trade-based or facilities maintenance environment.
- Working knowledge of electrical, plumbing, carpentry, and HVAC maintenance requirements.
- Strong ability to interpret and apply contractual documentation and schedule of rates.
- High attention to detail and accuracy in job planning and material assignment.
- Excellent communication skills, both verbal and written, for effective client and internal stakeholder engagement.
- Proficiency in using job management or maintenance planning systems (e. g. , Simpro, SAP, Pronto, etc. ).
- Strong time management skills with the ability to plan and prioritise multiple jobs daily.
Required Skills
- Previous experience working under a government contract or with the Department of Communities.
- Familiarity with compliance and regulatory standards in property maintenance.
- Trade qualification or technical background in a relevant field (electrical, plumbing, HVAC, carpentry) is advantageous.
